(aka the big ones where we hit the road, drink the good stuff, and maybe sleep in a field)
Bookings & Payments
- You can secure your spot with a 1% deposit, or pay in full upfront — whatever works for you.
- Paying the deposit is not just a reservation — it commits you to a payment plan. We need a plan agreed and payments underway before your spot is fully secure.
- We’re flexible on how the plan looks. Our preference is monthly instalments starting the month after your deposit. Bimonthly payments or a schedule of agreed lump sums can work too — just talk to us and we’ll sort something.
- Whatever the structure, the full balance must be paid no later than 60 days before departure.
- If you haven’t established a payment plan within 30 days of paying your deposit, or you fall behind on payments without making alternative arrangements with us, we will release your spot.
Cancellations & Refunds
- Your deposit is non-refundable under any cancellation scenario. It’s what holds the spot.
- Cancel more than 60 days before departure: full refund of payments made, minus your deposit.
- Cancel 30–59 days before: 50% refund of payments made, minus your deposit.
- Cancel less than 30 days before: no refund.
- If we have to cancel the trip, we’ll refund you in full or move you to a new date.
Travel Insurance
- You need personal travel insurance that covers medical emergencies, cancellations, delays, and stolen stuff.
- We aren’t liable for things outside our control (e.g. cancelled trains, broken bones, lost wine).
Physical Requirements
- These trips involve walking, hiking, skiing or other active pursuits. You should be in decent physical condition.
- By booking, you accept the physical risks involved and that you’re responsible for your own health.
Behaviour & Group Dynamics
- These trips are fun, social, and slightly boozy – but not lawless.
- If you act like a dick (abusive, dangerous, gross), we reserve the right to remove you without refund.
Rooms, Food & Requests
- We do our best to accommodate room and dietary preferences but can’t make guarantees.
- Group meals are part of the deal – let us know in advance if you’ve got any special requirements.
Accommodation & Group Size Adjustments
Swallow Don’t Spit Wine operates small-group trips in mountain destinations where accommodation availability can change due to property ownership changes, maintenance issues, weather, or supplier circumstances outside of our control.
By booking a trip, guests acknowledge and agree to the following:
Accommodation Changes
While we aim to provide the specific chalet or accommodation advertised, we reserve the right to change the accommodation to another property of a similar standard within the same resort or nearby area if operational circumstances require it.
Reasons for this may include, but are not limited to:
-
property ownership changes
-
maintenance or safety issues
-
supplier availability
-
logistical constraints
-
changes required to ensure the trip operates successfully
In such cases:
-
The accommodation may differ in layout, amenities, or capacity.
-
Facilities such as sauna, hot tub, ski-in/ski-out access, or communal spaces may vary depending on the replacement property.
Such changes do not constitute grounds for cancellation or refund, provided the accommodation remains of a comparable standard and the trip itinerary can proceed.
Group Size & Chalet Configuration
Our group trips operate with a flexible group size depending on bookings.
If the number of confirmed guests is lower than expected, we may move the group to a smaller chalet or different accommodation that is better suited to the group size.
This allows us to maintain the quality of the experience while ensuring the trip remains financially viable.
In these cases:
-
Guests will still receive the same programme of activities, guiding, and catering as advertised.
-
Room allocations (twin/double/single where applicable) will still be honoured.
Changes made for group size reasons do not entitle guests to compensation or refunds.
Experience Over Property
Our trips are designed around the overall experience — skiing, guiding, food, wine tastings, and the social group atmosphere — rather than a specific property.
Accommodation changes that allow the trip to proceed safely and smoothly are considered part of the normal operational flexibility required for small group travel.
Force Majeure
- If the world melts (natural disasters, strikes, pandemics, acts of god), we’ll do our best to reschedule you or offer a credit.
- Refunds in these situations are not guaranteed.
